The process begins with document triage, a deceptively complex step that determines which records are worth digitizing and which are not. Regulatory obligations, audit readiness, and litigation risk often elevate records such as contracts and employment files to the top of the list. 

At the same time, frequently accessed operational materials can deliver immediate value once digitized, while historically significant documents force teams to balance preservation against cost and utility. Business mail illustrates this tension clearly as it remains critical for compliance and operations, but is harder to manage securely in hybrid and remote environments.

Once documents are selected, technical hurdles quickly emerge. Aging paper records may suffer from faded text or physical damage, compromising scanning quality and optical character recognition (OCR) accuracy. These imperfections can ripple through the knowledge base, weakening search functionality and downstream workflows. Addressing them often requires a combination of advanced equipment, manual review, and quality control processes to preserve information integrity.

Retention policies, access controls, and regular audits help ensure that digitized records remain accurate, compliant, and usable over time. Partida notes that converting paper documents for integration into a digital knowledge base transforms static paper archives into actionable knowledge that supports better decision-making.
